JOB SUMMARY

We are looking for an organized, detail-oriented, and experienced Bookkeeper to join our growing team on a part-time contract basis.

This role is ideal for someone who is confident managing day-to-day bookkeeping responsibilities, comfortable working independently, and able to keep financial information accurate, organized, and up to date.

You will manage key accounting and administrative functions, including invoicing, accounts receivable and payable, payroll coordination, QuickBooks Online, Gusto, client and subcontractor contracts, financial reporting, and monthly bookkeeping.

The ideal candidate is proactive and dependable, understands that accuracy is critical, and can adapt quickly when priorities or business needs change. You will work closely with leadership and have the opportunity to make recommendations that improve our financial processes, systems, and overall efficiency.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Prepare and send client invoices on a weekly basis

Manage accounts receivable, including tracking outstanding invoices and follow-up as needed

Manage accounts payable and ensure bills and payments are accurately recorded

Manage bookkeeping activities within QuickBooks Online

Process and coordinate biweekly payroll through Gusto

Maintain accurate and organized financial records

Reconcile accounts and ensure transactions are properly categorized and recorded

Bring the books to the trial balance stage

Prepare and provide monthly Profit & Loss statements to leadership

Prepare and provide aged accounts receivable reports to leadership

Run and provide financial and profitability reports from QuickBooks Online

Monitor financial information and identify discrepancies, inconsistencies, or items requiring attention

Manage and maintain contracts for clients and recruiter subcontractors

Send, track, and organize contracts and related documentation

Maintain organized digital financial records and documentation

Assist leadership with financial questions, reporting, and special projects

Identify opportunities to improve bookkeeping processes, software, reporting, and overall efficiency

Make recommendations for new tools, systems, and processes when appropriate

Take ownership of bookkeeping responsibilities and proactively communicate issues before they become problems

QUALIFICATIONS

2–4 years of hands-on bookkeeping experience

Strong proficiency with QuickBooks Online

Experience with Gusto, including payroll processing

Experience with accounts receivable and accounts payable

Experience preparing financial reports, including Profit & Loss statements

Understanding of account reconciliation and general bookkeeping practices

Experience bringing books through the trial balance stage

Proficient with technology, computers, and internet-based applications

Ability to work independently with minimal supervision

Ability to manage multiple priorities and deadlines

Reliable and dependable

Available for a recurring weekly meeting during U.S. Central Time
